The HR Operations Specialist works cross-functionally within the HR Shared Services team supporting HR centers of excellence programs.Primary dutiesEmployee Lifecycle / Process and Program Administration – 75%

  • Maintain information in HR systems to ensure data integrity and compliance, conduct audits and make corrections as appropriate.
  • This includes initiating and/or reviewing all core HCM business process, creating and/or reviewing offer letters and monitoring Workday changes to ensure processes are completed appropriately
  • Initiate pre-employment screening and monitor for completion within SLA. Escalate with vendors for problem resolution. Communicate concerns on results to HR Partners as per process and policy.
  • Manage the onboarding process for new employees or temporary staff, including the preparation of documentation such as contracts, addendums, codes of ethics, and policies as needed.
  • Responsible for maintaining updated data on terminated and active employees, contractors and interns to complete the CENSUS.
  • Request, verify and control applications for admission, changes in function, and approval of dismissed collaborators.
  • Administer the relocation, tuition reimbursement, complementary benefit programs for locations in Brazil, as assigned.
  • Management and collaboration with the payroll team, including document regularization, updating data in the system, uploading files, and coordination of union and collective payments.
  • Process requests and purchase orders, payment of HR service invoices, as well as placing orders and maintaining contracts.
  • Collaborate with all functions within HR, including Payroll, Benefits, Compensation, Talent Acquisition and HR Business Partners.
  • Manage digital and physical employee files, including responding to information requests and managing documents related to benefits, contracts and other legal requirements, as well as analyzing and uploading documents and information for work processes.
  • Coordinate the submission of monthly updates to the Training Analyst to revise job descriptions, training records, schedules, and the competency matrix for audits.

Employee Inquiry Support – 25%

  • Respond accurately and timely to employee inquiries about HR policies, programs, processes and services.
  • Work with subject matter experts and escalate complex issues as needed.
  • Identify when there is inconsistent, or an absence of, information in the knowledge base to answer employee questions.
  • Ensure HR policies and procedures are consistently applied and comply with legal and regulatory requirements

Minimum Requirements

  • Bachelor’s degree completed.
  • 1-2 years of experience in an HR service center
  • Microsoft tools proficiency including Excel and Word
  • Ability to do high volume work accurately and timely
  • Fully proficient English level (written and speaking)
  • Experience working with highly confidential, sensitive information
  • Ability to work independently and as part of a team, highly organized and detail-oriented with the ability to manage multiple tasks and priorities efficiently and effectively.
  • Strong problem-solving skills, with the ability to independently identify and resolve issues, selecting from several alternatives in a timely manner, escalating appropriately.
  • Strong interpersonal, communication and customer service skills
  • High initiative with demonstrated accountability and responsibility for independent judgement and successful outcomes.

Preferred Qualifications

  • Experience with SAP
  • 1 year of Workday and case management experience.
  • Experience with ticketing systems.
